Portfolio Monitoring, Health Scoring & Distress Signals

Replaces the quarterly-review fire drill with continuous surveillance of every portfolio company, from two directions at once. Inside-out: ingest each portco's monthly financials and KPI feeds, check every metric against its covenant thresholds and its own trailing trend, and alert the deal team the week a problem starts — the obvious things (covenant breach imminent, revenue decelerating two months running) and the non-obvious (gross margin slipping 200bps while revenue looks fine). Outside-in: sweep public signals weekly — WARN notices, new litigation and licensing filings, key-executive departures, UCC liens, review-site collapse, a website or certificate going dark — with a different signal set per company archetype. On top of both, a composite health score that is computed the same way every time, with a separate confidence score for how much data it actually had.

Trigger

Monthly financials land, a covenant test date approaches, or the weekly signal sweep runs

Inputs

Portfolio company monthly financials and KPI feeds
Covenant terms and test schedules per investment
Portfolio system of record (invested amount, TEV, marks)
Public web signals by company and archetype

Outputs

Targeted alerts on covenant breach risk or trend deterioration
Provenance-tagged new distress signals
1–5 composite health score with sub-component rationale and a separate 1–3 confidence score
Portfolio heatmap, per-company report card and pre-built quarterly review packages

Under the hood

At the SBIC firm, document discovery polls the portfolio-reporting system on a rolling window and maps every delivery to its portfolio-company agent — 93 documents routed to 26 company agents in a typical week, with risk tier from the warehouse driving how deep each write-up goes
A master agent fans out to per-company agents in tuned batches, then composes a narrative-first digest — context, headline, metrics with the story, what changed — under an anti-dashboard rule enforced in the template: no raw metric tables, no leading with aggregates
At the search-fund investor, external signals are archetype-specific rather than generic — a B2B software company, a field-services business, an insurance brokerage and a consumer membership business fail in different observable ways, so each gets its own signal set on top of the common distress checks, across roughly 116 active operating companies
The scanner writes only NEW findings and tags every one with provenance, so the weekly output is a diff rather than a re-listing nobody reads twice
The health score there is a weighted rollup at the sub-component level — performance 35%, resilience 50%, execution 15% — with hard RED overrides that bypass the weighting entirely: covenant breach within six months, six months or less of liquidity runway, or a going-concern flag
Confidence is scored separately from health, and data gaps lower confidence and are marked N/A rather than estimated — which is what lets the number be argued with rather than dismissed; the monitor degrades honestly to coarser evidence instead of interpolating, and every figure drills to its source
